Event Check-in for Synagogues: Name Search, Badges and the Day-of Run Sheet | EzzyWorks

Check-in and day of

The door, without the clipboard.

Volunteers at the door search a name and tap. No tickets to scan unless you want them, no app to install, no training. Behind them, the run sheet keeps the whole day on one screen.

The problem

The volunteer at the door is not a technical person.

At most synagogue events the door is staffed by a congregant with a printed list and a pen. The list was exported yesterday. Someone registered this morning. A family of four is standing there while the volunteer scans three pages.

EzzyWorks puts the live list on any phone or tablet. Type the first letters of a name, tap, done. Walk-ins are added on the spot. The headcount updates for the kitchen in real time.

“Smooth experiences depend on one person, not a system.”One of the eight patterns we heard in interviews with synagogue event coordinators and executive directors

Day of the event

Six things that make the door calm.

Search a name, tap once

The live registration list on any phone or tablet. Type a few letters, see the household, tap to check them in. Dietary notes show right there for the kitchen.

QR scan if you want it

Guests get a code in their confirmation email. Scanning it with the phone camera is faster, but it is optional. Nobody is turned away for not having their phone.

Walk-ins, handled

Someone shows up unannounced. Add them in a tap, with or without payment, and the headcount updates everywhere.

Badges and lists

Print name badges or a door list before the event, in a format that suits a Shabbat program or a gala. Export the final list for your records.

One run sheet for the day

The timeline, who is leading, where the setup crew is, the emergency contact, the caterer’s number. On one screen that everyone with a role can open.

Send the event order

One tap sends the schedule, facilities, catering and A/V details to everyone who needs them. If something changes, the update shows only what changed.

How it works

Before, during and after the doors open.

1

Prepare

Badges printed if you want them, the run sheet reviewed, the event order sent.

2

Open the door

Volunteers open the check-in screen on their own phones. No install.

3

Check people in

Name search, QR scan or walk-in. The number updates live.

4

Close out

The final list and headcount are saved with the event for next year.

Good to know

Before you ask.

Volunteers need no training.

If they can type a name into their phone, they can run the door. There is nothing to install and nothing to configure.

Tickets are optional.

Synagogues do not enforce tickets like a cinema. Name search is the default; QR scanning is there for the events that want it.

The day stays with the event.

Check-in numbers, walk-ins and the run sheet are saved with the event, so next year starts from the real picture.
